Guides for “Accounting & journal” in : step by step, with the place in the menu, the steps and the limits.
Accounting & journal
Reverse an asset posting
Finance › Fixed assets
Reversed depreciation remains on record but no longer reduces book value. Reversing a disposal restores the register and journal together.
Step by step
- Open the asset and check its book value and linked journal entries. Reverse an incorrect posting through the journal.
Depreciate assets entered later
Finance › Fixed assets
Repeating the run includes assets entered later without duplicating existing depreciation.
Step by step
- Record the missing asset and rerun depreciation for the same period. Check the additional postings.
Correct document-linked entries
Finance | base → Journal
Documents, open items, VAT and journal entries remain consistent when corrected.
Step by step
- Open the document from its journal entry.
- Cancel a sales invoice from the document or create a credit note. Reverse a payment from the document; undo bank reconciliation first.
- Check supplier invoices in the inbox. Reopen VAT returns in the VAT view with a reason.
Protect accounts and review missing postings
Finance
Required control, tax, bank and configured accounts remain active. Other accounts must have a zero balance. Active rules are checked for balance sheet accounts.
Step by step
- Issue the invoice or credit note. With accounting configured, the document, journal and open item are committed together. Payments are also saved with their journal postings.
- Under closing, review issued documents without postings using the document number and link.
Credits in statements and closing reconciliation
Finance
Statements and closing reconciliation use stored open balances and dated payments. A credit already allocated to an invoice is deducted once, for both receivables and payables.
Step by step
- Open Closing › Reconciliation and compare receivables with account 1100.
- Credit notes and their reversals are offset only once; any remaining difference must be explained.
Correct entries linked to business records
Finance › Journal / MWST / Abschluss / Abgrenzungen
VAT closing entries can only be reversed under VAT › Reopen return, with a reason, an open period and no dependent later return. Reversal and status are saved together. An earlier isolated reversal displays a warning and invalidates the closing status. Carry-forward entries, opening balances and automatic accrual or deferral reversals cannot be reversed in isolation. Guided reopening of annual closing is currently unavailable.
Open items at the reporting date
Finance
Open items and ageing show today’s balance. Future payments do not yet reduce the open or overdue amount. The list displays the scheduled payment date and amount. The financial overview uses the same balance. Reminders show the scheduled payment instead of a reminder proposal; no new reminder is created before its date. From the payment date, the payment reduces the balance. Statements and closing reconciliation also respect payment dates.
Step by step
- Open the open items and check the reference date: payments dated in the future are marked as “scheduled”.
- The amount open today stays visible until the payment date; reminders are blocked until then.
Accruals and deferrals
Finance | base › Accruals and deferrals
You record accruals and deferrals without VAT in CHF. Finance posts the reversal on the first day of the next month or financial year. If the year is missing or the period is locked, it remains pending and is retried later. The mobile API contract for app 1.2.1 supports viewing, creating and cancelling accruals from iOS build 34 or Android build 51. Reading requires finance.nutzen; changes also require finance.buchen for the relevant company. Automatic reversal follows the same rules as the web portal.
Step by step
- Record an accrual or deferral
- Type / Income or expense account / Accrual or deferral account
- Reversal
- Post
Compound postings with up to 500 lines
Finance | base › Compound postings with up to 500 lines
Add or remove journal lines. Debit, credit and difference update continuously. The server calculates in whole cents and rejects any difference. All lines appear in the journal, account ledger and exports; closing reports include every movement. Each posting uses one shared currency and exchange rate. The mobile API contract for app 1.2.1 supports viewing and creating CHF postings from iOS build 34 or Android build 51. At least two lines are required with no fixed line limit; the web form remains limited to 500 input lines. Reading requires finance.nutzen; creation also requires finance.buchen for the company. Locked periods and unequal debit and credit totals prevent posting.
Step by step
- New entry
- Add line
- Post
