Analytics

Sales | base › Management › Analytics

Shows for a pipeline the funnel of open deals, the win rate, totals per currency, the average time in each stage and the loss reasons.

Step by step

  1. Choose the pipeline you want and click “Show”.
  2. Read the key figures at the top: open, won and lost deals and the win rate.
  3. In the funnel, see how many open deals are in which stage.
  4. Below, check the totals per currency, the time per stage and the loss reasons.
  5. In the forecast, read open deals by month of expected close: total, weighted by stage probability, and won amounts (actual); overdue deals and deals without a date are shown separately.

Views, bulk editing and export

Sales | base › Deals, Contacts or Leads › bar above the list

Above the lists of deals, contacts and leads you save filters as a view, change many entries at once and export the list as CSV.

Step by step

  1. Set filters and enter a name under “Save current filters as view”; with the right permission also choose “Visible to everyone”.
  2. Under “View”, choose a saved view or the standard view.
  3. Tick entries in the list, choose a change (owner, stage, team) and click “Dry run” first.
  4. Check the dry-run result, then click “Run”.
  5. Under “Export as CSV”, choose the columns and download the file.

Import

Sales | base › Management › Import

Shows the import runs when taking over from a previous CRM and previous invoicing: trial run, reconciliation and execution, with counters, totals per currency, blocks, open references and findings.

Step by step

  1. Read the instructions at the top.
  2. For a run, check whether it is a trial run or an execution and what its status is (reconciliation OK, discrepancy, error).
  3. In the table, compare for each source table: Source, New, Existing and Skipped.
  4. Below, check the deal totals per currency, blocks, open references, the handover to Finance and the findings.

Import lists

Sales | base › Management › More › Import

Imports contacts, newsletter lists, forum accounts and research lists from a file with column mapping, total checks and a dry run. The page also suggests missing company addresses from documented earlier email traffic.

Step by step

  1. Choose the profile and select the file (CSV, TSV; forum accounts also JSON).
  2. Check the suggested column mapping; required fields are marked with *.
  3. For newsletter lists enter the purpose, for forum accounts the platform’s short name.
  4. Start the “Dry run”: check totals, filled fields and findings – nothing is saved.
  5. Use “Execute” to apply exactly this dry run.
  6. Under “Missing addresses from email history” apply suggestions one by one with evidence.

Leads from previous sales records

Sales › Leads › Import or Settings › Data exchange

Imports leads from CSV or Excel with title, company, person or first name and surname, email, phone, source, status, owner, source score, tags, note, creation date and conversion links. Neutral templates recognise people, organisations, deals and leads from column headings. Rejected and converted leads are retained. Deal activities are imported as a note.

Step by step

  1. Open Import beside New, or import from a file in an empty list. Choose the lead target and upload the file.
  2. Check the recognised neutral template for people and organisations, deals, leads or Excel lists. Review the mapping and every unmapped column.
  3. New, contacted, qualified, rejected and converted statuses are pre-mapped. Contacted maps to under review, rejected to disqualified and converted to converted. Map unknown statuses explicitly.
  4. Map unknown owners to an existing visible person in the value editor. Only unambiguous names and email addresses are linked. Create new accounts in company settings.
  5. Run the preview. Existing leads, including closed leads, are matched by email or person plus company. A company alone is insufficient. Existing contacts are linked without creating additional contacts.
  6. Check file = new + changed + unchanged + rejected and the reasons for each row. Approve the reviewed plan. You can undo the run within the displayed undo period.

Diagnostics

Sales | base › Management › Diagnostics

Shows the status report, data quality, the latest background runs and the integration findings, with exact figures.

Step by step

  1. In the status report, read open cases, hot deals, warm deals, follow-up drafts waiting, uncertain sends and pipeline totals per currency.
  2. Under “Data quality”, check contacts without a usable address, companies without a contact person, and blocks and legal bases.
  3. Under “Latest background runs”, see the start, result and figures of the runs.
  4. Under “Integration findings”, check irregularities of the connected services.
  5. If integration findings show “Webhook silent since …”, check the displayed time: ongoing delivery notifications have been missing since then. Sales also retrieves events and resolves the finding when ongoing notifications resume.

Import opportunities from sales exports

Company settings › Data exchange › Opportunities

Wert, Betrag and Volumen map to the amount. Abschluss, Abschlussdatum, Closing and Fällig am map to the closing date.

Step by step

  1. Check the mapping and trial run. Without an ID column, the identifier is derived from company, postcode and town, otherwise from row number. Opportunities for the same company are distinguished by row number. Prefer a fixed ID column for repeated imports.
